At The Little Champs AP, we are committed to providing a positive experience for all participants in our sports events. This Refund Policy outlines the terms and conditions regarding refunds and transfers of registration fees. By registering for our events, you agree to the terms set forth in this policy.

1. Registration Fees

Registration fees are collected to support the smooth organization of The Little Champs AP events. These fees cover:

  • Venue bookings & infrastructure
  • Sports equipment & safety gear
  • Professional staff, referees, and volunteers
  • Medals, certificates, and participant kits
  • Administrative and operational costs

2. Cancellation by Participant

  • Cancellation Request Window: Participants (or guardians) must request cancellation at least 5 days before the event date to be considered for a refund.
  • Refund Amount:
    • ≥ 7 days before event → 100% refund (minus any payment gateway charges)
    • 5–6 days before event → 50% refund
    • < 5 days before event → No refund (transfer option available – see Section 6)
  • All refund requests must be made in writing via email to ensure documentation.

3. No-Show Policy

If a participant fails to attend without prior cancellation, the registration fee is non-refundable.


4. Event Cancellation or Rescheduling by The Little Champs AP

  • If we cancel or reschedule an event due to unforeseen circumstances (weather, venue issues, safety concerns, etc.):
    • A full registration fee refund will be issued.
    • Refunds processed within 10–15 business days of the announcement.
    • Travel, lodging, or personal expenses will not be reimbursed.
    • In case of rescheduling, participants may choose either to transfer to the new date or request a refund.

5. Refund Method & Timelines

  • Refunds are issued via the original payment method:
    • Card → same card
    • Bank transfer → same account
    • UPI → same UPI ID
  • Processing Time: 7–10 business days, plus 3–5 days for the bank to reflect the amount.
  • Any payment gateway transaction charges are non-refundable unless the cancellation is initiated by us.

6. Registration Transfers

  • If your child cannot participate:
    • You may transfer the registration to another child in the same age category at no additional cost.
    • Transfer requests must be submitted at least 3 days before the event via email with complete details of both participants.
    • Transfers cannot be made on the day of the event.

7. Special Circumstances & Exceptions

  • We understand emergencies happen. For medical or family emergencies:
    • Requests will be reviewed on a case-by-case basis.
    • Valid proof (doctor’s note, hospital slip, etc.) may be required.
    • An administrative fee may apply for partial refunds.

8. Policy Governance & Updates

  • The policy in effect at the time of registration will apply.
  • The Little Champs AP reserves the right to update this policy at any time, with changes posted on our official website.
